Jr. Facilities Coordinator (Part-time)

As part of our Global Workplace Solutions (GWS) team, you will ensure our Australia office remains a safe, welcoming, and well-organized environment that supports productivity, collaboration, and business success.

Your work will have a direct impact on employee experience, operational efficiency, and the smooth running of day-to-day office activities. From supporting workplace operations and vendor relationships to coordinating meetings and welcoming visitors, you will play a vital role in keeping our workplace running seamlessly. This is a part-time, in-office position working Monday to Friday from 8:00 a.m. to 12:00 p.m.

What you'll do

• Serve as the primary on-site point of contact for workplace operations, ensuring the office runs smoothly and efficiently.
• Support employees, leaders, and visitors through exceptional customer service, meeting coordination, and day-to-day office administration.
• Manage workplace services, including security, cleaning, waste management, catering, postage, parking, and office supplies.
• Coordinate meeting room schedules and support the planning and execution of onsite meetings and events.
• Partner with the local property management company and third-party vendors to maintain high workplace standards.
• Support VIP visits and provide a professional and welcoming experience for employees, customers, and guests.
• Identify opportunities to improve workplace operations, enhance employee experience, and support cost-effective facilities management.

What you will bring

Required

• Up to 2 years of experience in facilities coordination, workplace operations, office administration, or a similar role.
• Strong customer service mindset with a proactive and solution-oriented approach.
• Excellent organizational skills and the ability to manage multiple priorities simultaneously.
• Strong verbal and written communication skills.
• Ability to work independently while collaborating effectively with broader teams.
• Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
• High level of professionalism and discretion when handling confidential information.

Preferred

• Experience supporting a global organization or distributed workforce.
• Experience managing vendor relationships and coordinating workplace services.
• Familiarity with workplace health, safety, and compliance practices.
• Experience supporting executive or VIP visitors.
